Production Time
Production time begins upon receipt of complete PO, credit approval, viable art and art proof approval (if requested). Standard production time for catalog quantities only; one color/location imprints (unless otherwise noted) is approximately 3-5 business days. Standard production time for orders greater than catalog quantities, multi-color/location imprints (unless otherwise noted) are approximately 5-10 business days. Lanco’s hours are 8:30 am – 6:00 pm, Eastern Time, Monday through Friday. A complete purchase order must include:- Typed purchase order with company billing information, PO number, item number, item color, item quantity, imprint color, imprint location, art instructions, shipping instructions (ship to address(s), and ship method). Submitting hand written or incomplete purchase orders may cause delays.
- Clean and properly formatted artwork. (Please see Art Requirements).
- Established account in good standing, credit approval or receipt of credit card information.
- Orders and art must be emailed to orders@lancopromo.com.
- Complete purchase order (including art) must be received before 2:00 PM Eastern Time to count for that day.
- Orders are processed by 2 different departments. Please include both art and order information in the body of the e-mail with all submissions or resubmissions.
- A clearly marked in-hands date or a must-ship date is recommended. Otherwise Lanco reserves the right to ship within 5 working days from receipt of a complete purchase order (or if otherwise noted). If in-hands date or must-ship date is modified after receipt of initial purchase order and upgraded shipping is necessary, Lanco will not absorb upgraded freight costs and it will be the sole responsibility of the Customer. Production timeline begins upon art approval, credit approval, and/or receipt of prepayment.
- Purchase orders missing a ship method will default to UPS Ground as long as that service will meet your stated in-hands date.
- Please include PO Number in the subject line of all orders and correspondence.
24 Hour Rush Service Conditions
Please contact factory prior to placing order to ensure sufficient inventory and production capacity. 24 Hour Rush available on all in-stock items listed as 24 Hour Service items; catalog quantities only; one color/location imprints only; screen, pad, label and sublimation.- Subject to approval, complete 24 Hour Rush orders (PO and artwork) should be submitted together to orders@lancopromo.com, before 2:00 pm Eastern Time.
- Orders must be CLEARLY MARKED 24 Hour Rush. Failure to mark the order as RUSH will cause a delay in order shipping. 24 Hour Rush Charges will apply.
- Orders must be CLEARLY MARKED with item number, item color, quantity, imprint color and shipping instructions. Failure to provide the required info makes the PO incomplete and will cause a delay in order process.
- No art proofs are available.
- Art re-creates, typesetting and any art manipulation are not available for rush orders.
- Customer account must be in good standing. Note: credit approval will delay production; therefore we require ALL new accounts to pre-pay all rush orders unless credit is established and approved in advance.
- Order must ship via UPS. If shipping method is not clearly specified, the factory is authorized to ship via air at customer’s expense to meet listed in-hands date.
West Coast Shipping Package
Take Advantage of our West Coast Package - Special Rush Service for West Coast States Only! Eligible orders will ship via UPS 3 Day Select Shipping at UPS Ground Rates. Must say "West Coast Package" on order to qualify.- Available ONLY for Accounts in California, Nevada, Washington, Oregon.
- Products NOT Eligible for West Coast Package: Awards - Bags - Bottled Water - Items in Glass Jars - Chocolate under WARM WEATHER SHIPMENTS - Heat Transfers - 3D Chocolate Molds - Anti-Bacterial items (due to hazardous material UPS/DOT requirements for air shipping) - All Drinkware items (i.e. Ceramic Mugs, Plastic Bottles, Metal Tumblers, etc.)
- Does the West Coast Package apply to orders with drop shipments? No. The customer is responsible for all shipping on any orders with drop shipments. West Coast Package provides 3 day shipping to 1 location where we will ship UPS 3-day select and bill at UPS ground rates.
- Does the West Coast Package apply to self promos?
No, West Coast Package does not apply to self promo orders.
Artwork Requirements
Artwork should be submitted in vector format with all fonts converted to outlines. Please include any additional information which will help process art submissions quickly and accurately. Artwork must always include PO# in the subject of the email and contact information in the body of the email. Orders without correct PO# referenced will be rejected by the factory. We recommend submitting a mockup of the art on the item for comparison. Factory cannot be responsible for errors otherwise. Note: Artwork will be sized to maximum available imprint area unless otherwise specified on Purchase Order.
Acceptable File Size
Up to 10.0 MB files may be received via email. Larger files may be uploaded to our FTP site. Instructions here
Acceptable Formats
Illustrator (CC or earlier), vector based AI, EPS or PDF files. Non-vectored Photoshop (CC and earlier, 300dpi at 100% size only) and TIFF (hi res, b/w only) files that are saved as 8-bit CMYK or grayscale can be used for 4 color process printing, 4 color process digital labels, heat transfers and other full color digital applications. Note: we do not accept either Word files or CorelDraw files for art submission.
Art Charges
Should your art require manipulation, that requires a charge, you will be contacted with an estimate before any work is done. Art charges are billed at $50 net per hour. $25 net minimum billed.

Production Info, Order Details, & Other Charges
Confirmation of Receipt: Lanco generates an automated email reply once a purchase order is received. This reply is a generic receipt and does not constitute an order acknowledgement, but rather a receipt of PO. You will receive an actual order acknowledgement within 48 hours after receipt of the order unless an email address or fax number is not provided. (Rush order acknowledgements will be processed sooner). If you do not receive an acknowledgement within 48 hours of submission (sooner for rush orders) please contact the factory. Upon receipt of acknowledgement, please review all information carefully. If you do not receive an acknowledgement, or if there are any discrepancies, please contact customer service immediately. Orders will be processed based on the information in the order acknowledgement.
Order Changes
Any changes made to orders after receipt of the initial PO must be made in writing via e-mail or fax. Change orders must be clearly marked as a change order and the PO number must be included in the subject line. Each change order will be billed at $5(X). All change orders made the same day as order shipment will be billed at $20(X). All changes made the same day as order shipment must be received before 2:00 pm Eastern Time.
Note: Lanco will make every attempt to apply changes on the ship date but cannot guarantee that this will happen due to the product already being in production! This does not include factory data entry errors. All changes should be emailed to orders@lancopromo.com. We cannot make changes after 2:00 pm Eastern Time to orders shipping that day. Please include ASI or customer number and purchase order number in the subject of your message and clearly mark all changes.
If an order is already in production (production may start before the ship date) charges will apply for all work performed up until the point of the change order submission.
Art Proof
No Charge: Art proofs are produced within 48 hours from receipt of a complete purchase order for standard production.
The factory will not be held responsible for art proof approvals that contain errors whether the error is that of the factory or the distributor. An approval means the distributor is approving the product/art proof. Written art proof approval is required as soon as possible after receipt of proof. The production timeline begins after completed purchase order and art proof approval. Art proof approvals for large quantity, multi-color, multi-location and 4 Color Process Heat Transfer orders may be required several days in advance of the estimated ship date.
PMS Color Match
$30(G). The factory will make every effort to closely match any PMS color. An exact match cannot be guaranteed, especially on polyurethane stress relievers and non-white items. PMS matching is only available for screen and pad print orders. Neon colors cannot be guaranteed. Note: We reserve the right to print our stock “Reflex Blue” when orders do not specify a “blue” and our stock “Dark Green” when orders do not specify a “green”. PMS matching is NOT available for direct full color, sublimation or 4 color process heat transfer or label orders. Art for these imprint methods are CMYK process-printed using 4 individual colors (cyan, magenta, yellow, black) to achieve a singular/final result and lack the precision of the Pantone® matching system and color formula mixing process.
Less Than Minimum (LTM)
$45(G), The absolute minimum is 1/2 the minimum catalog quantity (except where noted). First column pricing applies. LTM fees and first column pricing apply to all re-orders. Blank Orders Billed at End Quantity Pricing (EQP) less 5%. Due to the cost of order processing, the minimum quantity for blank item orders is the first column quantity. (Any items that require labeling or imprinting due to Federal or Local regulations will not be considered blank item orders.)Repeat Orders Please see Decoration Method & Charges for applicable fees. Please reference the most recent order number and date on your purchase order. The factory will hold information for the current year and one year previous. The factory will not be held responsible for errors caused by incorrect PO reference.
Over/Under Runs
Every effort is made to ship the exact quantity ordered; however due to the nature of the manufacturing process we reserve the right to ship 5% over or under the quantity ordered and invoice accordingly.
Assorted Colors
Minimum of 50 units per color may be ordered. Not available with Less Than Minimum orders.
Color Change
$25(G) per change.
Co-op Programs
Quotation upon request. Prices subject to change without notice.
Foil Wrapping
For chocolate products that do not include foil wrapping, additional charge is incurred if foil is required. Items 1 oz. or less are $.20(G) each. 2 oz. to 4 oz. are $.25(G) each. 5 oz. to 7 oz. are $.30(G) each. Over 7 oz. $.45(G) each.
Drop/Split Shipments
$10(G) per location after the first. Individual Shipments require mailers $3.00(G) per address when supplied min proper format below. Proper addresses must be provided 2 weeks prior to ship date, in Excel file, with corresponding printed list of names and addresses. For lists in other formats, add $4.50(G) per address.
Handling Charges
Sales orders shipping on receiver or third party accounts are subject to a $7.50(J) handling charge per order. FOB Ronkonkoma, NY 11779
Self-Promo Policy
EQP less 10% and 50% off applicable setup and run charges. Minimum quantity will be half of first column quantity (where applicable). Self promos are not available for full color heat transfers and non-inventoried items. Subject to management approval.
Pre-production Sample
$30(G) plus all applicable charges. Upon written approval of the pre-production sample, run charges and a repeat set up charge will apply to the full production order. Pre-Production samples for full color heat transfer order are $206(G).

Fulfillment
For individual shipments (1 package (same weight and dimensions) per location) with supplied labels, add $.50 (G) ea. Labels typed for individual shipments add $1.50 (G) ea. Shipping and handling will be billed separately. Orders with more than 10 locations are shipped exclusively with UPS. Ceramic Mugs To ensure safe delivery for ceramic mugs and drinkware, a Protective-Pack box will be used. In the event that the use of the Protective-Pack box is declined, LANCO WILL NOT BE LIABLE FOR ANY BREAKAGE CLAIMS. Unless otherwise requested, a protective box charge of $10(G) US & $13.50(G) CAN. per package applies to all ceramic mug shipments. For Ceramic Mugs, we recommend shipping by LTL freight and not UPS package service.
Ceramic Mugs
Pieces to Case Conversion. Mugs must be ordered in multiples of 24. Quality Of Ceramics Due to the inherent properties of ceramic ware produced by foreign manufacturers, there may be variations which are not defects. Differences in natural materials, firing temperatures and color pigments may result in variations in appearance.
Anti-Bacterial Product Shipping
Products containing alcohol (antibacterial gels and sprays) are considered flammable by the US Department of Transportation (DOT) and are therefore subject to strict federal regulations. Lanco does not add charges for required labeling and packaging although UPS charges a $45 surcharge per package for Air Services on these products. Lanco recommends ground services for these products since ground services are not subject to this UPS surcharge.Anti-Bacterial Products are limited to these shipping methods- Ground Service: UPS GROUND or FedEx GROUND
- Air Services for Antibacterial Products: UPS Next Day (Red), UPS 2nd Day (Blue), UPS 3 day service (Brown)
- Shipments to Alaska, Hawaii and Puerto Rico must ship UPS Air service.
Warm Weather Shipment (for chocolate products)
If this is a meltable item, when the temperature reaches 75 degrees F. we will ship your order in insulated containers with ice packs. The product will remain cool for 2 full days. Expedited shipping is required for locations beyond a 2 day ground ship zone. We will use either refrigerated trucking or insulated cartons. We will select the least expensive method. Individual drop ship locations will ship Next Day Air. For insulated cartons, please add $18.00(G) (USD) / $24.30(G) (CAD) per carton. When cost effective, a larger carton can be used please add $30.00(G) (USD) / $40.50(G) (CAD) per carton.
Foreign / International Shipments
Add $25(G) per ship to address. The distributor is responsible for all applicable duties, paperwork, and taxes.
Claims
Must be made no later than 15 days after receipt of order.
Returns
No merchandise may be returned without a factory return authorization number, and all boxes must be marked with the return authorization number.
Cancellation
Billed for all work performed to the point (including credit card processing fees) of cancellation plus $20(G).
Blank Goods Restocking Fee
Un-imprinted (Blank) goods can be returned only if in good condition. A 20% restocking fee, with a minimum charge of $45(X) applies.
Trademark Notice
The factory assumes no responsibility for determining who does or does not hold title to a trademark. The artwork, designs and trademarks imprinted on the products displayed herein are reproduced only as examples of the type and quality of imprinted products available. They are not intended to represent that the products are either endorsed by the owners of the artwork, designs or trademark.
Samples:
Lanco will provide up to $10 (at EQP) worth of random samples at no charge with your shipper number.Product sample orders totaling over $10 (at EQP) will be charged to your account. We will charge for sample orders and shipping where the shipper number is not supplied.
Spec Samples
Spec Samples are available for applicable items at $50(G). 2 pieces will be produced per artwork/item. When a spec sample order converts to an actual sale for the distributor, the new purchase order is eligible for a one-time $50(G) rebate of the original spec sample charge on the order referencing the original spec order.
Note: The distributor must reference the spec sample order number on the standard purchase order in order to be eligible for this rebate.
Customer Supplied Inventory
All Customer Supplied Inventory (“CSI”) must have pre-authorization from CI/Lanco and sent to the appointed facility with the appropriate carton markings CI or Lanco job # Attn: Production Manager Contents description Quantity In Hands Date Anything less and we cannot be responsible.
Force Majeure
LANCO IS NOT RESPONSIBLE FOR FAILURE TO FULFILL A DELIVERY COMMITMENT AS A RESULT OF SITUATIONS BEYOND OUR REASONABLE CONTROL. THIS INCLUDES, BUT IS NOT LIMITED TO OCCURRENCES SUCH AS: NATURAL DISASTERS (I.E. HURRICANES, FLOODS), LABOR STRIKES, CONGESTION AT PORTS OF ENTRY, US CUSTOMS, HOMELAND SECURITY HOLDS AND DELAYS, OR FAILURE OF SUBCONTRACTORS TO PERFORM. LANCO WILL PROVIDE DOCUMENTATION IN SUPPORT OF ANY FORCE MAJEURE OR COMMERCIAL IMPEDIMENT OR FAILURE, UPON REQUEST.
